The position is in the Prosthetics Program of the VA Pittsburgh Healthcare System. The employee is responsible for the performance of
secretarial duties for the Prosthetics Program Leader and support of prosthetic staff and program. This important role is the incoming communication center for Prosthetics. The duties of this position are:
Secretarial duties for the Prosthetics Program Leader and filing support for the Prosthetic Purchasing Agents. Content includes correspondence, material for publication, reports, memoranda, meeting minutes, forms and other official documents.
Documents must be prepared in the proper format and proofread for spelling, grammar and other errors prior to submission to the administrator or physician for signature. This includes the preparation of manuscripts for publication, strictly adhering to formatting instructions provided.
Answers telephone calls, screens and greets visitors and veteran patients, and monitors incoming correspondence and mail. The employee must have the skills and knowledge to independently manage routine inquires such as scheduling questions from veterans, directing physicians and managerial staff, redirecting misdirected calls, locating reports, procedures for referrals, etc. Employee must be able to recognize exceptions to routine and seek input from supervisors or other staff members.
Acts as timekeeper as assigned by the Program Leader. This may include maintaining a leave calendar for assigned staff, assuring adequate coverage of all activities and approving emergency and short periods of sick leave for assigned staff.
Coordinates internal conferences and meetings as assigned.
Secures required information and completes forms for employee's requests for training funding, travel reimbursement, etc. Makes reservations as requested/assigned. Prepares and maintains personnel files, including position descriptions (PD's), functional statements (FS), performance appraisals, personnel actions, etc. as assigned. Maintains records of required employee training (infection control, fire and safety, continuing education
credits, etc.) and submits required reports as instructed.
Maintains and makes proper disposition of medical and administrative records as assigned.
Maintains the calendar of administrative staff as assigned.
Orders and maintain supplies for the prosthetic department across two divisions and three office locations.
Establishes and maintains files of Program, Service Line, Healthcare System and VA Headquarters policies, procedures and directives and other pertinent correspondence.
Distributes above materials to appropriate personnel within the Program as directed.
Enters work orders for repairs, etc., as requested by staff and ensures work is completed.
Serves on hospital committees, task forces, and work groups as requested and assigned by Program Leader.
Serves as PIV sponsor for the Prosthetics Department.
The employee acts in a confidential capacity with respect to the management official to which s/he reports. The official for whom s/he provides personal and confidential assistance formulates or effectuates management policies in the field of labor-management relations.
